Talent Portal

Invite Talents or Guardians, review proposed profile changes and new media, and configure what each Talent can see in their agency Portal.

The Talent Portal gives invited Talents or Guardians access to their linked profile, work, and agency requests. Your agency reviews proposed changes before they affect approved information.

Invite a Talent

Portal availability depends on your account's access. An owner or admin with invitation permission can send invitations.

  1. Open Talent Portal > Portal Access.
  2. Click Portal Invite.
  3. Select up to 25 Talents with current representation.
  4. Choose Talent or Guardian for each selected Talent and check the on-file email.
  5. Turn on Onboarding for each Talent who should complete a guided profile.
  6. Send the invitations and check each result.

Birth date is optional. For a known minor, NowRep recommends Guardian, while Talent remains selectable. Guardian requires a usable on-file Guardian email. There is one current Portal recipient per Talent; a Guardian can hold separate access for several linked Talents.

New users set a password. Existing users sign in with the invited email. Both review the current Terms and Privacy Policy. Invitations expire after seven days. Resend replaces the previous link; Cancel Invitation stops an unaccepted invitation.

Guardian enrollment and consent review are separate. Record the consent document through the Talent's existing document workflow. In Portal Access, use Record Consent Review after checking that evidence. Guardian data entry remains unavailable until consent has been reviewed. Withdraw Consent Review removes that readiness.

Review profile changes

  1. Open Talent Portal > Reviews, or use Quick Review or Open Review from a Talent profile.
  2. Compare the original and submitted values. Check current agency values when they have changed since submission.
  3. Choose Approve section, Request changes, or Reject section.
  4. Provide a clear reason when returning or rejecting a section.

Approved sections update the agency profile immediately. Approval of all required profile sections completes onboarding; optional media can remain in review. Profile approval does not approve media.

Request changes gives the Talent an actionable revision. Reject closes the proposal and does not automatically request replacement work. A conflict requires a fresh comparison before approval; it cannot overwrite a newer agency edit.

Birth date, legal identity, and Guardian corrections require separate staff handling. Resolve these requests through the relevant agency editor. Ordinary section or bulk approval cannot apply them. Approving a contact email changes profile contact information, not the login email.

Request ongoing updates

Use Request Profile Update from the Talent action menu or review workspace. Select the eligible sections and add instructions. The request appears in Activities, and the Talent responds through the existing profile editor.

Submitted sections stay frozen until reviewed. Return a section with Request changes before asking for a revised submission. Later requests do not restart completed onboarding; Reopen Onboarding is a separate action.

Needs Review contains submissions ready for staff action. Awaiting Talent contains requests awaiting a response. History retains decisions. Counts include only work you can access and count each Talent once.

Review new media

Open media submissions in Reviews, or through the Media Portal Inbox. Draft uploads remain private to the Portal user. Submitted sets retain their names, dates, and decision history.

Select submitted items and choose an eligible existing Talent Portfolio or a new one. New Portfolios start Internal. Existing destinations keep their publication behavior, so placing media into an already published destination can make it available immediately. Check the confirmation before approving.

Reject items with feedback, request replacement work explicitly, or delete selected items with the required permission. A replacement needs a new upload set. Physical file removal may finish after the decision; history remains available.

Review Tracking requests

Talents and linked Guardians can use Request Tracking Event in Calendar for the active Tracking types your agency enables. Event titles use the Tracking type and Talent display name. They enter dates, optional times, a description or Talent note, and may propose In Town, Out of Town, or Inactive during the event and a status afterward.

Pending requests are private proposals. They do not create Calendar Events or change the Talent's status. The requester can Withdraw a pending request.

  1. Open Talent Portal > Reviews and choose Tracking Requests.
  2. Open the Talent's Tracking Requests review panel.
  3. Check the dates, times, displayed timezone and any overlapping work.
  4. Confirm the final status choices and approve, or reject with a reason.

Review requires both Event and Talent management permissions. Approval creates one ordinary Tracking Event and Talent assignment together. It preserves the requested dates and times in the agency timezone recorded at submission, even if your agency later changes its default timezone. A rejection creates no Event and records its reason in history.

Pending approval also checks current Portal access and whether the Tracking type remains active and enabled. Reload when another reviewer or the requester has already decided or withdrawn the request.

After approval, staff edit or cancel the Event through the existing agency Calendar workflow. The Portal requester cannot withdraw an approved Event. Decisions and withdrawals remain in Activities, Calendar request history and agency History; routine decisions do not send Talent email.

Review Booking requests

Talents and current linked Guardians can choose Request to Decline on a potential Booking or Request Cancellation on a confirmed Booking. A reason is required, up to 2,000 characters. Each request covers that Talent's whole assignment, including every scheduled day.

Open Talent Portal > Reviews > Booking Requests. Check the reason, full schedule, timezone and submitted/current status. Approval requires both Event and Talent management permissions. Approve the requested outcome, or reject with a reason. A pending request leaves the Booking unchanged; the original requester can withdraw it while authorized.

Approval changes only that Talent's assignment to Declined or Cancelled. It does not cancel the whole Event, change other Talents or remove shared days. Changed status or schedule, expired access, a Booking that has started, or active financial work can block approval. Reject obsolete requests with guidance instead of substituting another outcome.

Booking Requests participates in review counts, Talent filters, next-Talent navigation and History. Portal Activities keeps decisions and the submitted schedule even when the Booking no longer appears in Calendar. Routine decisions do not send email; the existing visible Calendar cancellation alert can still apply. A cancelled assignment does not establish that no fee is owed.

Configure the experience

Open Talent Portal > Configuration. Save Profile Sections and Portal Experience independently.

Internal Portfolios remain hidden. These settings do not change Site, Package, or Showmo publication rules. Documents, invoice/payment history, and general assigned Tasks are outside this Portal release.

Manage access

Use Pause Access for a temporary suspension and Restore Access after checking current eligibility. Revoke Access permanently closes that grant; a fresh invitation is needed for a revoked recipient. Replacing the Guardian does not transfer the old login.

Archive or representation end starts a read-only window of up to 30 days, with an exact end date shown in the Portal. Talents cannot edit or submit during this window. Scheduling cleanup preserves the window; execution removes access immediately, even if cleanup later fails. Staff can revoke sooner.

Restoring representation or unarchiving does not silently restore editing. Check Portal Access and explicitly restore eligible access. Feature loss or disabled Portal access blocks subsequent protected requests. Files already downloaded cannot be recalled.

Notifications and help

Talents receive email for actionable agency requests and visible Booking cancellations, plus invitation and authentication messages. Routine decisions remain in Activities and history. Agency submission emails go to permitted assigned managers, falling back to permitted owners/admins. Tracking review notices require both Event and Talent management permissions.
