Invoice Detail Workspace
Review saved invoices, inspect related talent and booking context, edit drafts, open activity, and check payment and PDF status.
Overview
Open an invoice detail page from the invoice library, a booking-board invoice status badge, or another invoice link. The detail workspace shows the saved invoice, the preview, related records, review state, payment status, PDF status, and available actions.
Booking Board invoice status badges open invoice detail in a new tab when a linked invoice is available.
What You See
The top of the page shows:
- Invoice status
- Document type: invoice or credit note
- Review state for active draft reviews
- Invoice number
- Client, talent, and booking summary
- Issue date
- Due date
- Paid amount
- Current balance
If an issued invoice is overdue, the page shows an overdue warning with the outstanding balance.
Detail Cards
The workspace includes cards for:
- Review workflow - Current review state, feedback, and review actors
- Payment overview - Total, paid amount, balance, and payment progress
- Credit notes - Linked credit notes, credited amount, current family balance, and delivery action-needed state for source invoices
- Talent - Linked talent profile and contact basics
- Booking - Linked booking dates, status, location, and notes
- Client and contact - Invoice snapshot plus linked directory records
- Line items - Saved client-visible and internal line detail
- Payment ledger - Payments recorded against the invoice
- Generated PDF - Stored official PDF status and link when available
- Delivery - Latest delivery state, when it happened, and recipient or failure detail
The preview pane stays beside the details so you can inspect the invoice or credit note while reviewing saved data.
For created and issued invoices or credit notes, the stored PDF link opens the official PDF artifact. The PDF may be created by Generate Invoice or Generate Credit Note before delivery, or by the matching send action as part of email delivery. Opening or downloading that file does not resend or refinalize the document.
The delivery badge and Delivery card track client delivery separately from document status. They show whether no delivery is recorded, the latest email failed, the latest email was sent through NowRep, or the document was marked as manually delivered outside NowRep. Invoices become receivable only after successful NowRep delivery or manual Mark as Sent delivery. Credit notes use the same delivery states so the team can confirm the client received the correction document.
Editing Drafts
Draft invoices can be edited from the detail page.
- Open the invoice detail page
- Choose Actions > Edit draft
- Update the invoice editor
- Check the live preview again
- Save the draft or submit it for review
Only draft invoices and draft credit notes can be edited. Created, issued, paid, and void invoices are managed through delivery, payment, void, and credit-note actions instead.
Activity History
Choose Activity or Actions > View activity to open the invoice history. Activity records review decisions, PDF generation, email delivery, manual delivery, payment actions, voids, credit-note creation, duplication, and other invoice changes.
Use activity history when you need to understand who changed an invoice, why changes were requested, or how an issued invoice reached its current state.
For booking-linked invoices, activity also helps explain when invoice delivery moved the linked talent to Billing, when zero-total delivery moved the linked talent directly to Paid, or when full payment moved the talent to Paid. Partial payment appears on the invoice and on the Booking Board talent payment badge, but the linked talent stays in Billing until fully paid.
Related Records
Linked talent, booking, client, and contact cards help you confirm that the invoice belongs to the right work. When a linked record exists, use the card action to open that record.
For source invoices, the Credit notes card keeps correction documents attached to the invoice family. It summarizes the invoice total, recorded payments, active credit-note amount, and current family balance without rewriting the original invoice artifact or treating credit notes as cash payments. Open an individual credit note from that card when you need to edit its draft, generate its PDF, send it, or inspect its own activity.
The client/contact card shows the invoice snapshot. Changing invoice client fields does not automatically rewrite the linked directory company or contact.
