Management
Assign internal managers and link external agencies to talent profiles.
Overview
The Management section tracks who represents each talent:
- Representation Dates – When representation started and contract details
- Internal Managers – Team members responsible for the talent
- External Agencies – Other agencies representing the talent
Management information is edited through the talent edit form alongside other profile details.
Representation Dates
Track the timeline of your agency's representation of the talent.
| Field | Description |
|---|---|
| Start Date | When your agency began representing the talent |
| Contract Length | Duration in months |
| End Date | When representation ends (auto-calculated from Start Date + Contract Length, or set manually) |
When you enter a Start Date and Contract Length, the End Date is automatically calculated. You can also set the End Date manually to override the calculation.
Internal Managers
Internal managers are team members from your account who are responsible for a talent. Each talent can have up to 2 internal managers: one Primary and one Secondary.
Manager Roles
| Role | Description |
|---|---|
| Primary | Main point of contact for this talent |
| Secondary | Backup or additional contact |
Assigning an Internal Manager
- Open the talent's profile
- Click Edit in the action menu
- Navigate to the Management section in the edit form
- In the Internal Managers area, click Add Manager
- Select a team member from your account
- Choose their role (Primary or Secondary)
- Optionally set a start date and add notes
- Click Add
Note: Only one Primary manager is allowed per talent. If a Primary manager already exists, the Primary option will be disabled when adding a new manager.
External Agencies
External agencies are other companies that also represent the talent. Each talent can have up to 2 external agencies linked.
Why Track External Agencies?
- Coordination – Know who else to contact about a talent
- Conflicts – Avoid double-booking across agencies
- Mother Agency – Track the talent's primary representation
Adding an External Agency
- Open the talent's profile and click Edit
- Navigate to the Management section
- In the External Agencies area, click Add Agency
- Select an agency from your Directory
- Optionally select an agent (contact) at that agency
- Check Mother Agency if this is the talent's primary agency
- Set the start date and optionally an end date
- Add any notes about the relationship
- Click Add
Note: You can only select agencies that already exist in your Directory. If you need to add a new agency, first add it via Directory, then return to link it to the talent.
Mother Agency
The Mother Agency is the talent's primary representative—typically the agency that discovered or originally signed the talent.
- Only one agency can be marked as Mother Agency per talent
- The Mother Agency is displayed prominently on the talent's profile
- If you try to mark a second agency as Mother Agency, you'll see a warning
Linking to Directory
External agencies are stored in your Directory. This means:
- Agency information is centralized
- Updates to the company apply across all talents
- You can see which talents an agency represents from the company profile
Viewing Management Information
Management details are displayed on the talent's profile page, showing:
- Representation dates (start, contract length, end)
- Assigned internal managers with their roles
- Linked external agencies with Mother Agency designation
Management Best Practices
- Assign managers early – Set up Primary and Secondary managers when onboarding new talents
- Keep information current – Update manager assignments when team responsibilities change
- Track external relationships – Document all agency relationships for clear coordination
- Designate Mother Agency – Always mark the primary agency for clarity on commission and decision-making
