Managing Portfolios
Create Portfolios, add and reorder Media, move or copy items safely, and review deletion impact before confirming.
Use Portfolios to build ordered Media collections for a Talent or for your account.
Create A Portfolio
- Open Media, then choose Portfolios
- Select New Portfolio
- Enter the Portfolio details
- Choose a Talent when the Portfolio is Talent-specific, or leave it at the account level
- Save the Portfolio
Add Media
Open a Portfolio and select Add Media, then choose how to add it:
- Upload Media adds a new file
- Embed Video adds a supported external video
New uploads and embeds are saved together with their required Portfolio placement. If the save cannot finish, neither an incomplete Media item nor an accidental new Portfolio appears in the Library.
Download Portfolio Media
- Open a Portfolio and select Download Portfolio Media to prepare all readable Media in it
- Or open the Portfolio Library, select Portfolios on the current page, and choose Download Media From Selected Portfolios
- Review the complete resolved Media total, stored-file count, estimated size, and embedded omissions
- Enter a ZIP Filename, then select Create ZIP
Selected Portfolio exports include only the Portfolios selected on the current page. Each selected Portfolio contributes all of its Media, including Media beyond the current page. Each Media appears once, and unselected Portfolios stay out.
Open Media > Exports to follow progress, inspect included and omitted items, cancel an active request, retry an eligible failure, or download a ready ZIP. Ready and partially ready ZIPs expire 24 hours after completion. The requester receives a private completion notification, while the shared Activity Log keeps a readable request record with its scope and the number of Media requested.
Embedded videos are omitted from the ZIP bytes. The manifest keeps each item's title, provider, original link, and omission reason for review.
Move, Copy, Or Delete Media
Use Move To Another Portfolio when the same Media item should change its single location. Use Copy Media To Portfolio when another Talent needs an independent copy. Use Delete Media when the item and its owned files should be permanently removed.
Moving directly between different Talents is not allowed. Copying creates a separate Media record and Storage identity so later deletion or cleanup of one copy cannot damage the other.
Delete A Portfolio
The confirmation explains what will happen to its Media:
- Every contained Media item that will be deleted
- Board, Package, Site, or idle Showmo-source relationships that will be detached or unpublished
- Any active work, lifecycle, permission, retention, or stale-state blocker
If Media will be permanently deleted, your role must allow both Portfolio and Media deletion. Protected dependencies block the operation and are shown for correction.
Important: A confirmation labeled Delete Portfolio And X Media also permanently deletes the displayed number of Media items.
In Archived, you can select eligible Portfolios from the current page and delete them together. Archived bulk selection offers deletion only and accepts up to 100 eligible user-managed Portfolios in one all-or-nothing confirmation. Portfolios in Pending Cleanup cannot be selected. Protected Default Portfolio and Showmo Output Portfolios remain owned by Talent cleanup.
Showmo Placement
Created Showmo Media begins in the Talent's protected Showmo Output Portfolio. It can move to an eligible Portfolio for the same Talent or to an eligible System Portfolio. Reuse for another Talent requires Copy.
