Entity Documents

View and manage documents linked to a specific talent, company, or contact from their profile's Documents tab.

Overview

Talent profiles and directory profiles (companies and contacts) have a Documents tab that shows only the documents linked to that entity. This provides a focused view — instead of browsing the entire library, you see just the files relevant to the person or organization you're working with.

Accessing the Documents Tab

  1. Open a talent, company, or contact profile
  2. Click the Documents tab in the tab bar

The tab label shows a badge with the total document count for that entity (including both normal and sensitive documents).

Tab Header

The Documents tab header shows:

  • Document count — A file icon with the count of normal (non-sensitive) documents
  • Sensitive count — A lock icon with the count of sensitive documents (only appears when there are sensitive documents)
  • Sensitive toggle — Click the lock icon to unlock sensitive documents (requires the org password). Only appears when a password is configured.
  • Upload button — Opens the upload dialog with the current entity pre-selected for auto-linking

Document List

Documents appear in the same row format as the central library list view:

  • File icon or thumbnail — Color-coded by file type, or a real preview for images and Showmo-generated comp cards
  • Filename — With a lock badge if the document is sensitive
  • Metadata — File size, category, and source (when not "Upload")
  • Action buttons — Download and a dropdown menu with Edit Details, Manage Links, Download, and Delete

All the same actions available in the central library work here — editing metadata, managing links, downloading, and deleting.

Uploading from a Profile

Clicking the Upload button in the Documents tab header opens the standard upload dialog. Documents uploaded this way are automatically linked to the current entity — no manual linking required.

This is the fastest way to attach a document to a specific talent or company.

Sensitive Documents

Sensitive documents linked to the entity are hidden by default. To reveal them:

  1. Click the lock icon in the tab header
  2. Enter the org password
  3. Sensitive documents appear in the list with a lock badge

The unlock session is shared with the central library — if you've already unlocked sensitive documents in the library, they're visible here too (and vice versa).

Empty State

When no documents are linked to the entity, a friendly empty state appears with an Upload button (for users with manage permission) to get started.

Tips

  • Upload directly from profiles — Uploading from the entity's Documents tab automatically links the file, saving you a step
  • Link existing documents — If a document is already in the library, use Manage Links from the central library to connect it to this entity instead of re-uploading
  • One document, many entities — A contract linked to a talent also appears on their profile. Adding a link to a company from the library makes it show up on the company's profile too.
